Pilot Inc. (hereinafter referred to as the “Company”) conducts business with its core as Web creation, system development, and data center services. Personal information acquired from customers through business activities and personal information of the Company’s employees (hereinafter referred to as “Personal Information”) is an important information asset for the Company, and the Company is aware of its important social responsibility to infallibly protect Personal Information. Accordingly, the Company will handle Personal Information acquired through business according to the policy below, provide peace of mind to customers and the Company’s employees in relation to the protection of personal information, and carry out its social responsibility.

About the acquisition, use, and provision of Personal Information

Personal Information will be acquired by legal and fair methods. Personal Information will be used within the scope that is necessary for accomplishing the purpose of use. In the event Personal Information will be provided to a third party, the consent of the person to whom the information belongs will be obtained in advance. Acquired Personal Information will not be used for other purposes. In the event it has become necessary to use Personal Information for another purpose, consent will be obtained again for the new purpose of use before the information is used.

About laws, government-stipulated guidelines, and other standards
(hereinafter referred to as “Laws, etc.”)

Efforts will be made to constantly ascertain the Laws, etc., related to the business of handling Personal Information, and employees engaged in the Company’s business (hereinafter referred to as “Employees”) will be knowledgeable about and comply with such Laws, etc.

About the safe management of Personal Information

In order to prevent the various risks of unauthorized access resulting in leaks, loss, or damage to the Personal Information, a system to implement prompt and appropriate measures will be built and maintained in order to safely manage the Personal Information. Inspections will be conducted, violations or accidents that are found will be promptly corrected, and preventive measures will be implemented for weak points. Employees will be thoroughly educated about safety.

About complaints and consultations

For complaints and consultations in relation to the handling of Personal Information, an office will be set up for Personal Information inquiries, a system that enables rapid responses will be built, and such inquiries will be handled with sincerity.

About ongoing improvements

In order to protect Personal Information, the Company’s Personal Information protection management system will monitor and audit the state of compliance with internal regulations; strive to find violations, incidents, accidents, and weak points; and have managers conduct reviews. Such activities will be reflected in the management policies and internal regulations, and efforts will be made to continually improve the Personal Information protection management system. Improvements will comply with Laws, etc., and JIS Q 15001.
